In order to carry out the building management service we provide, the collection of some personal information is vital. We currently collect and process the following information:

How do we collect personal information and how do we use it?
Most of the personal information we process is provided to us directly by you in order to provide services to both landlords and tenants and for the following reasons:
Customer service: We use information such as name, address and contact details to keep in touch and provide you with the best possible support throughout all aspects of lettings. The information will also be gathered via contact with us in the form of telephone calls and emails.
Processing Transactions: We use your name and financial details to enable us to process financial transactions for both landlords and tenants.
Anti-money Laundering (AML) purposes: As part of AML, personal data is gathered to ensure we have carried out the correct due diligence in getting to know our customers.
Who do we share your personal information with?
We may share your personal information with third parties when necessary for the purposes noted above. The third parties we may share your data with include but not limited to:
· Tenant referencing agencies
· Landlords
· Contractors
· Property Maintenance Companies
· Insurance providers
· Financial Institutions
· Legal representatives where debt recovery is required.

Our website is managed by PNE-MA who can view any information added to this platform. Their privacy policy can be obtained where necessary.
The third parties listed above are permitted to use the information to assist PNE-MA but are not permitted to use your information for their own purposes.

Your information is securely stored within electronic systems accessed by PPNE-MA staff only.
Any information which is gathered via hard copy, is input into the electronic systems and then destroyed.

Personal information will be retained for 2 years following termination of any relationship. Any information in relation to financial transactions will be retained for a period of 6 years to comply with the TPO Code of Practice and 5 years from the end of the business relationship to comply with the Money Laundering Regulations 2017.
